Marking a Contact as "Former"

If a Work Study contact has left a company, you will want to make sure to keep their record in Salesforce in order to see historical information. However, you will probably want to indicate that they have left so they no longer appear on email lists.


1. Navigate to the departed contact's record page.


2. Scroll to their "Affiliated Accounts" and click on the dropdown arrow next to the affiliation that connects the contact to the account. Select Edit.



3. Change the Status to Former. If desired, enter the date the contact left the company in End Date. You can enter specific information about their departure in Description (optional). Click Save.



On the contact's record page, scroll to Contact Information. Click the pencil icon next to Do Not Contact, then select the checkbox and click Save. The Email Opt Out and Do Not Call boxes will also be checked. This will prevent the contact from receiving mass emails sent from Salesforce, and it will also allow you to filter supervisors out of reports and list views by adding "Do Not Contact" = TRUE to filter criteria.



Reporting


We can also use affiliations to remove these contacts from reports. This short video demonstrates using a cross filter to remove these former contacts from any contact report.


If a Work Study contact moves from one CWSP partner to another, you can continue using their existing contact record. Follow steps 1-3 to update their old affiliation to former, then follow these steps to affiliate the contact to their new CWSP account. Also be sure to update the Account Name on their record page.
