Sending a Job Description Form

Every opportunity in Salesforce includes a link to a corresponding job description form. You can send this link either by pasting it into your own email message or by using the standard Job Description email template. For more information on the job description form, see this doc.


Sending the Form Using the URL


1. Navigate to the opportunity record that corresponds to the partner and year for which you are gathering job description information.


2. Scroll to the bottom of the page to System Information.



3. Copy the Job Description URL.


4. Paste the URL into your email.



Sending the Form Using a Template


Be sure to connect your email to Salesforce before using email templates.


1. Navigate to the opportunity record that corresponds to the partner and year for which you are gathering job description information.


2. Click on the Activity tab and select Email.



3. Select the template icon from the menu to the bottom left of the email component and click "Insert a template".



    4. Click "Job Description Link" and then Insert.


    5. Customize the email depending on your specific needs. Some notes on merge fields:

a. You can enter as many recipients as needed into "To", but only the first will populate the {{{Recipient.FirstName}}} merge field.

b. {{{Opportunity.Target_School_Year__c}}} will pull the target school year from the opportunity (e.g. "2021 - 2022").

c. {{{Opportunity.Job_Description_URL__c}}} will pull this specific opportunity's form link.

d. {{{Sender.Signature}}} will pull the signature you have set up in your custom settings. If you have not set up a signature, you can delete this merge field and paste your signature into the email.


    6. Once you have entered at least one recipient and customized your email as necessary, be sure to preview the email by clicking the preview icon in the menu. This will show you how the merge fields will populate based on the specific opportunity and recipient.



    7. Click Send to send immediately or click the dropdown arrow next to Send to schedule the send for later.
