Mass Updating Matriculation Steps and NSC Info

Often, it can be useful to make updates to Matriculation Steps or NSC information in bulk as you meet and speak with multiple students. This is best done using reports.


Finding the Correct Report

1. Access the Correct Report Folder

  • Go to the Reports tab in GradForce.

  • Click All Folders on the left-hand side.

  • Open the Matriculation and NSC Info folder, then the current class.





2. Choose the Relevant Report

Depending on your goal, select one of the following:

  • All Matriculation Fields – To update a wide range of matriculation data for all students.

  • Students Missing Matriculation Steps – To focus on students missing any of the four key steps.

  • Students at Risk of Not Matriculating – To work with high-risk students only.

  • All Contact Info – To update information sent to the National Student Clearinghouse (NSC).





Editing the Report Data

3. Open the Report and Enable Editing

  • Click into your chosen report.

  • Click the Enable Field Editing button at the top.

  • Editable cells will now show a pencil icon.



4. Make Edits to Matriculation Data

  • For each student:

    • Use the pencil icon to edit fields like enrollment deposit, orientation date, etc.

    • Edited fields will turn yellow (indicating unsaved changes).

  • Once edits are complete, click Save at the bottom.






Updating NSC Contact Info

5. Open the “All Contact Info” Report

  • Click Enable Field Editing.

  • Review and confirm:

    • First Name, Middle Name, Last Name

    • Birth Date

    • Gender and Race fields, if needed

  • Edit directly using the pencil icon.

  • Note: Birthdates are editable in this report.

6. Confirm Contact Info

  • Check the Contact Information Confirmed checkbox.

  • Click Save at the bottom.
