Potential Errors Reports

Within Work Studyforce, there are a small set of reports that are intended to detect common data issues. These reports are found in the 'CWSP Potential Errors Reports' folder and detailed below.


  • Unenrolled Students with Current Employments

    • What it shows: This report shows any students that have been marked as unenrolled in WSF, but still have a current employment. The primary issue is that supervisors may still receiving time cards for these students in spite of the fact that they no longer are reporting to work.

    • To solve any issues: Open the employment by clicking on the employment name, and change the end date to a date in the past (ideally that student's last day of work).

  • Number of Employments/Student

    • What it shows: This report will flag any students with more than one current employment. While there are limited circumstances where this may be intentional (such as students who have a different job on a rotating work day), it is most often because a previous employment was not ended correctly.

    • To solve any issues: Much like the previous issue, open the incorrect employment by clicking on the employment name, and change the end date to a date in the past (ideally that student's last day of work).

  • Active Pipeline Opportunities w/o TSY

    • What is shows: This report shows all New Job or Renewal opportunities that do not have a Target School Year identified. These opportunities will error if FTEs are added to them.

    • To solve any issues: Open any opportunities on the list and select the correct target school year from the dropdown.

  • Potential Time Card Errors

    • What it shows: This report flags any time cards that were completed by a supervisor in less than 60 seconds. While this is technically possible, it’s unlikely, and almost always indicates interference by a corporate partner's antivirus software. Antivirus software will click on the links in incoming emails to check if they are malicious, which also inadvertently records a time card rating without the supervisor ever actually opening the time card. 

    • To solve any issues: Reach out to any supervisors appearing on the list and request that their IT departments whitelist the email time cards come from (notifications@workstudyforce.org). This has cleared up most issues we’ve seen.
